About the tax invoice tool

The words 'Tax Invoice' at the top of a bill carry legal weight. It is the document a registered buyer needs to claim input tax credit and the one an officer checks during audit or when goods are stopped in transit. Larger buyers, government departments and PSU tenders often insist on a format that shows every field from Rule 46 in its statutory position, including the declaration of whether tax is payable on reverse charge and the state name against the place of supply.

How to generate a Rule 46 tax invoice

    Confirm your profile is complete

    Your GSTIN, full address with state, signature and bank details must be in the business profile since every one of them is a mandatory field.

    In Bill to, pick a saved customer with their GSTIN, or add one. Set the Place of supply; for inter-state supplies the state name prints alongside.

    Switch the reverse charge toggle on only if the recipient is liable to pay tax. The declaration prints as Yes or No on the PDF.

Rule 46 checklist printed on this format

  • The heading 'Tax Invoice' and your name, address and GSTIN.
  • Consecutive serial number of up to 16 characters containing letters, numerals and characters like / or -, unique for the FY.
  • Date of issue; for goods the invoice is issued at or before removal, for services within 30 days of supply (Rule 47).
  • Recipient name, address, GSTIN and state code; for unregistered buyers with value above ₹50,000, name, address and state are still required.
  • HSN or SAC, description, quantity, unit, total value, discount and taxable value for each line.

What is the difference between the tax invoice and GST invoice tools in VyaparKit?
Both are valid GST invoices with automatic CGST, SGST or IGST. The tax invoice format follows the Rule 46 layout strictly, printing every mandatory field with its statutory label, the state code and the reverse-charge declaration, which large buyers and auditors expect. The GST invoice is the lighter everyday layout for regular customers.
When should reverse charge be marked Yes on a tax invoice?
Mark reverse charge Yes when the recipient, not you, must pay the GST. This applies to notified services such as goods transport agency services, legal services from an advocate, security services to a body corporate, and certain notified goods. On such an invoice you do not collect the tax; the buyer pays it directly. Check with your CA for your specific supply.
Within how many days must a tax invoice be issued?
Rule 47 gives the time limits. For goods, the invoice must be issued before or at the time of removal or delivery. For services, it must be issued within 30 days of supplying the service, or 45 days for banks, NBFCs and insurers. Continuous supplies follow the due date of payment or statement.
How many copies of a tax invoice are required?
Rule 48 requires three copies for goods: the original for the recipient, the duplicate for the transporter and the triplicate for the supplier. For services two copies are enough, the original for the recipient and the duplicate for the supplier. Download the PDF and print or share as many copies as needed.
Can I edit a tax invoice after issuing it?
GST law does not allow revising an issued invoice. If the value or tax was overstated, issue a credit note; if understated, issue a debit note, each referencing the original invoice number and date under Section 34. VyaparKit creates both from the invoice so the reference is filled automatically.
Does the invoice number have to be consecutive?
Yes. Rule 46(b) requires a consecutive serial number, unique for the financial year, of up to 16 characters. VyaparKit numbers invoices as INV/26-27/0001, INV/26-27/0002 and so on, resetting on 1 April. You can change the prefix, and you can run separate series for different document types.
Is a signature mandatory on a tax invoice?
Rule 46 asks for a signature or digital signature of the supplier or authorised representative. E-invoices carrying an IRN are exempt from the signature requirement, but VyaparKit does not generate IRNs.
