About the payslip tool
Payslip and salary slip mean the same thing in India, but businesses use the shorter word when they want a simpler document. A cafe with three staff, a coaching centre with two teachers or a clinic with a receptionist does not need a two-column statement with fifteen heads. They need something that clearly says who was paid, for which month, how much was earned, what was deducted and what went to the bank. That is what this format is: everything on half a page, in a layout the employee can read at a glance and a bank clerk can verify quickly.
The usual shortcut is a Word template downloaded years ago, which means totals are typed rather than calculated, the amount in words rarely matches the figure, and the employer address is whatever was on the template. VyaparKit's payslip pulls the employer details from your business profile and the pay figures from the employee's saved structure. Paid days prorate earnings, deductions follow the rules you set once, and the net amount is spelled out in words by the tool. The slip gets a serial number, so the same month is never issued twice by mistake.

Save the employee
Go to Employees, click Add employee and enter name, designation, joining date, bank account and the monthly pay heads. Keep it to basic and allowances if that is all you pay; PF and ESI can stay off.

Open Payslip and pick the month
Select the employee, choose the month and enter paid days. Loss of pay reduces each earning line proportionately.

Review the figures
Gross, deductions and net are calculated. Add a one-off line for incentive, overtime or an advance recovery if needed, and check the amount in words.

What a compact payslip still needs
- Employer name and address, taken from your business profile, and the pay month.
- Employee name, designation and employee code, plus PAN or UAN where they exist.
- Days in the month, paid days and any leave without pay.
- Earnings lines: basic, HRA and allowances as you pay them, with overtime or incentive when applicable.
- Deductions actually made: PF, ESI, professional tax, TDS under Section 192 or advance recovery; leave out heads that do not apply.
- Gross, total deductions and net pay, with net pay in words.
- Mode of payment and bank account or UPI reference, and a serial number so each slip is unique.

Payslip: frequently asked questions
- What is the difference between a payslip and a salary slip?
- Nothing legally: both are the employer's written statement of an employee's pay for a period. In everyday use, payslip suggests a shorter document and salary slip a fuller breakup with CTC heads. VyaparKit offers both layouts on the same employee data, so pick the compact payslip for small teams and the detailed salary slip when the employee needs every head shown, for example for a home loan.
- Does a payslip need the employer's signature?
- A signature is not required by law. Most payslips today carry a line saying they are computer generated and do not require a signature. If you prefer, VyaparKit prints the signature image saved in your business profile on the slip. What matters more is that the employer's name and address, the employee's name and the pay month are clear, because that is what a bank or landlord checks.
- Can I make a payslip for a part-time or hourly worker?
- Yes. Save the worker with the monthly amount you agreed, then use paid days to prorate for the days actually worked, or enter the total for the month as a single earning line. For hourly staff, multiply hours by rate outside the tool and enter the result; the slip still shows the month, the amount and any deductions, which is what the worker needs for a bank record.
- How many months of payslips does a bank ask for?
- Most banks and NBFCs ask for the last three months of payslips for a personal loan or credit card and three to six months for a home loan, along with bank statements showing the credits and Form 16. Keeping every slip in VyaparKit means an employee can ask for any past month and you can download it again instead of recreating it.
- Can I edit a payslip after it is created?
- Yes. Open the document, change the figure or paid days and save; the PDF is regenerated. It is better to fix a slip than to issue a second one for the same month, because two different slips for one month cause questions at banks. If salary was actually paid twice or an arrear is due, add it as a separate line on the next month's slip instead.
- Should a payslip show CTC or gross salary?
- Show gross salary and the deductions from it, ending with net pay; that is what the employee actually received. CTC includes the employer's PF and ESI share, gratuity provision and benefits that never reach the bank, so putting CTC on the slip confuses lenders. If you want to show CTC, print it as a memo line below the totals rather than in the earnings column.
