About the bank statement to excel tool
Every business ends up needing its bank statement in Excel: the CA wants it for the books and the ITR, the GST reconciliation needs UPI credits matched to invoices, a loan application needs 12 months categorised by income and expense, and the owner wants to know where the money went. Banks give a PDF. SBI, HDFC, ICICI, Axis, Kotak, PNB, Bank of Baroda, Yes Bank and IDFC First each use a different layout, and the Excel download from net banking, where it exists, is often limited to a few months or comes with merged cells and text-formatted numbers.
Converting by hand means copying from the PDF into Excel and fixing the mess: narrations split across lines, debit and credit landing in the same column, balances that do not add up, and a weekend spent retyping. Free online converters often upload the file to unknown servers. How to convert a bank statement PDF to Excel

Download the statement from net banking
Log in to your bank and download the statement as PDF for the period you need. Choose the PDF (not the scanned or image option) so it has a text layer. Note the password the bank sets, typically your customer ID or date of birth.

Upload it
Open Bank Statement to Excel and drop the PDF. If it is password protected, enter the password; it is used only to open the file in memory.

Confirm the bank and preview
The tool detects the bank from the layout and shows the first rows: date, narration, reference, debit, credit, balance. Check that the opening and closing balances match the PDF.

Review categories and add rules
Each row gets a category. For anything marked Uncategorised, add a keyword rule such as 'AMAZON' to Purchases or a customer's name to Sales. Rules are saved and applied to your next statement automatically.

Click Download Excel. The .xlsx has one row per transaction with proper number formats, a category column and a summary sheet with totals per category and month.
What you get and what to check
- Supported banks: SBI, HDFC, ICICI, Axis, Kotak, PNB, Bank of Baroda, Yes Bank and IDFC First text PDFs; other banks may work if the layout is a standard table.
- Text PDFs only. Scanned or photographed statements have no text layer and are not supported; there is no OCR. Download a fresh PDF from net banking instead of scanning a printout.
- Password-protected PDFs are supported; enter the bank's password and the file is opened in memory.
- Columns in the Excel: date, narration, reference or cheque number, debit, credit, running balance and category, with numbers stored as numbers, not text.
- A balance check: each row's balance is verified against the previous balance plus credit minus debit, so a misread row is flagged rather than hidden.

- Which bank statements can be converted to Excel?
- Text-based PDF statements from SBI, HDFC, ICICI, Axis, Kotak Mahindra, Punjab National Bank, Bank of Baroda, Yes Bank and IDFC First Bank are recognised automatically. Statements from other banks often work if the PDF has a standard table with date, narration, debit, credit and balance columns. Try one statement first; the preview shows whether the rows were read correctly.
- Why does my scanned statement not convert?
- The tool reads the text embedded in the PDF. A scanned or photographed statement is an image with no text layer, and VyaparKit does not do OCR, so there is nothing to read. Download the statement directly from net banking or the mobile app as a PDF instead; those files carry text and convert cleanly.
- Is my bank statement stored anywhere after conversion?
- No. The PDF is read in memory, the Excel is generated and sent to your browser, and both are discarded. VyaparKit keeps only the keyword rules you save for categorisation, which contain the keywords and category names, not your transactions. The same in-memory rule applies to all VyaparKit PDF tools.
- Can I convert a password-protected bank statement?
- Yes. Enter the password the bank set (usually your customer ID, PAN, or date of birth in a format the bank specifies in its email) when uploading. The password is used only to open the file for that conversion and is not saved. If you do not know the password, download a fresh copy from net banking where it is displayed.
- How does auto-categorisation work and can I change it?
- Built-in patterns recognise common narrations: UPI and NEFT credits, salary payments, EMI debits, bank charges, GST and TDS payments. On top of that you save keyword rules mapping a text in the narration to a category, for example 'SWIGGY' to Food or a customer's name to Sales. Rules apply to future statements too, so the second month needs almost no manual tagging.
- Can I use the Excel to reconcile with my invoices and purchase bills?
- Yes. Filter the credit rows tagged Sales and match them against the Outstanding Statement to find invoices paid but not recorded; filter debit rows tagged Purchases against the Payables Statement for vendor payments not yet entered. Record the missing Payment Receipts and Vendor Payments in VyaparKit and the ledgers will agree with the bank.
- What is the page limit and how many statements can I convert on Free?
- The Free plan allows 3 conversions a month, each up to 10 pages, which covers a quarter for a typical small current account. Pro (from ₹350 a month, paid once as a pass) allows unlimited conversions and statements up to 200 pages, enough for a full year even for a busy account. Limits reset on the 1st of every month.
