About the excel to pdf tool
Spreadsheets run most small businesses in India, but a spreadsheet is a poor thing to send. Columns spill onto extra pages when printed, formulas and hidden sheets go with the file, and the receiver can change numbers. Price lists, stock statements for bank OD limits, payroll registers, GSTR-2B reconciliations and debtor ageing reports all need to reach someone as a fixed, printable PDF. Excel to PDF produces that document.
Excel's own Save as PDF needs print areas, scaling and page breaks set up correctly, which most people skip, so the output has orphaned columns and page 7 contains one line. VyaparKit reads the sheet, lays out the table with clean borders, repeats the header row on each page when First row is a header is ticked, and fits wide sheets on landscape pages. Every sheet in the workbook becomes its own section of the PDF.
Many VyaparKit reports already export to PDF directly, but Excel to PDF is useful for data you keep outside the app: a stock count sheet from the warehouse, a rate contract from a supplier, or the NEFT payout sheet after payroll. Tips for a good result
- Delete empty columns and rows at the edges of the sheet; they widen the table and shrink the text.
- Keep column headings in row 1 and data below it so the header repeats correctly on every page.
- Formulas are converted to their current values; the PDF never contains the formula itself.
- Cell colours, merged cells, charts and images are not reproduced; the output is a plain bordered table.
- Very wide sheets (more than about 12 columns) are easier to read in Landscape, or split the sheet in two.
- Amounts are printed as displayed; format cells as numbers with two decimals in Excel for tidy money columns.
- Input up to 10 MB on Free and 100 MB on Pro; one conversion is one PDF operation.

Excel to PDF: frequently asked questions
- Does Excel to PDF convert every sheet in the workbook?
- Yes. Each sheet becomes its own section, in the order the sheets appear in Excel. Hidden sheets are also converted, so delete any sheet you do not want in the PDF before uploading.
- Can I convert a CSV file to PDF?
- Yes. CSV files are treated as a single sheet. Comma-separated exports from Tally, banking portals or marketplace dashboards can be converted directly into a bordered PDF table with the first row as a header.
- Will my cell colours and charts appear in the PDF?
- No. The converter produces a clean table with borders and a styled header row. Colours, conditional formatting, charts and embedded images are not reproduced. For formatted reports, Excel's own export is the better tool; for a plain readable table, this one is faster.
- What happens to formulas in the spreadsheet?
- Formulas are replaced by their last calculated values. The PDF shows numbers only, which is usually what you want when sharing a price list or statement. Recalculate the sheet in Excel and save it before uploading so the values are current.
- How do I stop columns from being cut off?
- Choose Landscape, remove unused columns, and shorten long headings. The converter scales the table to fit the page width, so fewer columns means larger, more readable text. Splitting a very wide sheet into two sheets also works well.
- Is my spreadsheet stored on VyaparKit?
- No. The workbook is parsed in server memory, the PDF is generated, and both are discarded once you download the result. Financial data in the sheet is never written to storage.
