About the customer ledger tool
A customer ledger (the khata, or party account) answers the question every business owner gets asked: how much do I owe you, and how did you arrive at that. It lists each transaction with a customer in date order, debits for invoices and debit notes, credits for receipts and credit notes, and a running balance after each line. Wholesalers, distributors, agencies and anyone who sells on credit lives by it; even a shop that gives udhaar to regulars needs a clean version when the customer disputes a figure or a CA asks for confirmation of balances at year end.
A ledger kept in a notebook or Excel has three recurring problems. Invoices get missed because they were made in a different file, payments are entered against the wrong invoice, and the opening balance at the start of the year is a number nobody can trace. When the customer's own accounts show a different figure, the argument takes an afternoon. The ledger works together with the other receivables tools. Create documents against saved customers
Add a customer once with name, GSTIN and address, then make invoices, receipts and credit notes for that customer. Each one posts to their account automatically.

Open Customer Ledger and pick the customer
Go to Ledger, then Customer Ledger. Choose the customer and the date range, for example 1 April to today for the current financial year.

Check the opening balance
The balance as on the day before your range is shown as Opening balance. If you moved to VyaparKit mid-way, record the earlier balance so the ledger starts from the right number.

Read the running balance
Each line shows the document number, date, debit or credit and the balance after it. Click any line to open the invoice or receipt behind it when a customer asks about a specific entry.

What a customer ledger should contain
- Customer name, address and GSTIN, and your business details from the profile, so the statement is identifiable on both sides.
- The period covered and the opening balance as on the first day of that period.
- One line per transaction with date, document type and number (INV/26-27/0042, RCT/26-27/0017), a short narration and the debit or credit amount.
- Invoices and debit notes as debits (customer owes more); payment receipts and credit notes as credits (customer owes less).
- A running balance after every line, and a clear closing balance, marked Dr if the customer owes you.
- Totals of debits and credits for the period, which should reconcile: opening + debits - credits = closing.
- Cheque or UPI reference on receipt lines, so the customer can match them to their bank statement.
- Date of generation and a note that the balance is subject to reconciliation, if you are sending it for confirmation.

Customer Ledger: frequently asked questions
- What is the difference between a customer ledger and an outstanding statement?
- The ledger shows every transaction with the customer in a period, paid or not, with a running balance. The outstanding statement lists only invoices that are still unpaid, with how many days each is overdue. Use the ledger to reconcile and settle disputes; use the outstanding statement to chase collections.
- What is opening balance in a customer ledger?
- It is the amount the customer owed you (or you owed them) at the start of the period shown. For the financial year that is the balance on 1 April, which is the previous year's closing balance. If you started using VyaparKit after that date, record the balance carried over from your old books so the running balance is correct from the first line.
- Which documents change a customer's balance in VyaparKit?
- Invoices and debit notes increase what the customer owes. Payment receipts and credit notes reduce it. Quotations, estimates, sales orders and delivery challans do not touch the balance because no money is due on them; the balance moves only when the challan or order is converted into an invoice.
- How do I handle a customer who says their books show a different balance?
- Send them your ledger PDF for the period and ask for theirs. Differences are almost always a payment they made that you recorded against another customer, an invoice they never received, or a credit note for returns that one side did not book. Match line by line from the last agreed balance; the ledger's document numbers make this quick.
- Can I keep a customer ledger for cash sales too?
- You can, but it is rarely useful. A cash sale is invoiced and paid at the same moment, so the ledger would show a debit and a credit of the same amount on every line. Save customers and run ledgers for credit customers, and bill walk-in cash sales to a generic cash customer.
- Is a customer ledger valid proof of debt if I need to go to court or MSME Samadhaan?
- The ledger itself is your own record; what carries weight is the trail behind it: signed invoices, delivery proof, the customer's acknowledgements and a balance confirmation they signed. A clean ledger with document numbers helps you assemble that trail quickly. For any recovery action, consult a lawyer or your CA.
