About the payment due slip tool
A payment due slip sits between an invoice and a reminder. The customer already has the invoices; what they need is one number and one action. In India that action is UPI: scan, confirm, done. The slip is what a milk vendor, a tuition teacher, a distributor's salesman or a society manager hands over at month end, and increasingly what a wholesaler sends on WhatsApp to a retailer before the delivery truck arrives. The amount due may cover one invoice or a whole month of them.
Made by hand, the slip is usually a WhatsApp message with a number typed from memory and a screenshot of a bank passbook. The customer pays a rounded figure, pays the wrong amount, or pays to an old account. Reconciling that later is painful. VyaparKit fills the slip from the customer's ledger balance or the invoices you select, prints a UPI QR with the exact amount and your UPI ID from the business profile, and prefills a WhatsApp message with the total and the link, so the customer pays the right amount to the right account.
The slip is one of the receivables tools that share the same data. How to send a payment due slip with UPI QR

Save your UPI ID in the business profile
Open Business profile and enter the UPI ID linked to your current account. It is used on every QR and share link. Also add your logo if you want it on the QR (Pro).

Pick the customer
Go to Ledger, then Payment Due Slip, and select the customer. Their current outstanding balance appears along with the unpaid invoices behind it.

Choose what the slip covers
Keep the full balance or select specific invoices, for example only those older than 30 days. The amount due updates and the UPI QR is generated for exactly that figure.

Add a note and due date
Write a one-line note such as 'Please clear by 10th' and set a due date. Keep it factual; the tone is polite by design.

Share on WhatsApp or download
Click WhatsApp to open a prefilled message with the amount and a share link, or Download PDF to print. You can see when the customer opens the link.

Record the payment
When the UPI credit lands, create a Payment Receipt against the invoices. The ledger balance drops and the next slip starts from the new figure.
What a payment due slip should carry
- Your business name, address and contact from the profile, so the customer knows who is asking.
- Customer name and the date of the slip.
- Amount due in figures and words, and the invoice numbers and dates it is made up of.
- Due date or the words 'payable immediately'.
- A UPI QR encoding your UPI ID, the payee name and the exact amount, so the customer cannot mistype it; UPI QRs work with GPay, PhonePe, Paytm, BHIM and every bank app.
- Your bank details (account number, IFSC) for customers who pay by NEFT or cheque instead of UPI.
- A line asking the customer to send the UPI reference number after paying, which makes the receipt easy to match.
- A note that it is a payment request, not a tax invoice; GST was charged on the original invoices.

Distributors collecting from retailers
A beverage distributor in Jaipur sends each retailer a due slip on WhatsApp the evening before delivery. Retailers scan and pay while the truck is being loaded, and cash handling by the driver drops.
Tuition, coaching and hobby classes
A dance academy sends parents a monthly slip with the fee and a QR. Payments arrive in the right amount, and the receipt goes back on WhatsApp within minutes.
Milk, newspaper and tiffin services
A tiffin service in Hyderabad tallies each customer's month from invoices, generates the slip and shares it. Customers who used to round to the nearest hundred now pay the exact figure.
Housing society and club dues
A society manager prints slips for maintenance dues with a QR per flat. Members pay from the notice board, and the reconciliation happens against UPI references.
Payment Due Slip: frequently asked questions
- How does the UPI QR on the slip work?
- The QR encodes a standard UPI payment string with your UPI ID, your name and the amount due. When the customer scans it with any UPI app, the app opens a payment screen with the amount already filled in; they enter their PIN and the money lands in the bank account linked to your UPI ID. There is no gateway or fee involved.
- Can the customer pay a part amount using the QR?
- Most UPI apps let the payer edit the amount before confirming, so yes, a part payment is possible. If you want to control it, generate a slip for only the invoices you want cleared now. Whatever they pay, record it as a Payment Receipt against the specific invoices so the ledger stays accurate.
- Does the slip mark itself paid when the customer pays?
- No. UPI payments arrive in your bank account, not through VyaparKit, so the tool cannot see them. Once you see the credit, create a Payment Receipt for that customer and select the invoices it covers. That posts the credit to the ledger, and the outstanding balance and the next due slip update accordingly.
- Is a payment due slip a legal document like an invoice?
- No. It is a payment request that summarises invoices you have already issued; it carries no tax and does not replace a tax invoice, receipt or a formal demand notice. The invoices remain the legal record of the supply. If a dispute goes further, you would rely on the invoices, delivery proof and the ledger, not the slip.
- Can I put my logo in the middle of the QR code?
- Yes on the Pro plan (from ₹350 a month, paid once as a pass). The logo from your business profile is overlaid on the QR on due slips, invoices and share links, and the code remains scannable because QR error correction tolerates the covered area. Free plan QRs are plain but work identically.
- What is the difference between a payment due slip and a payment reminder?
- The slip is a document: amount, invoices, QR, share link. The reminder is a message: polite text in a gentle, firm or final tone, usually with the same pay link, sent when a due date has passed. Send the slip first; escalate with reminders if it goes unpaid.
