About the payment reminder tool
Asking for money is the part of business most owners hate, so it gets delayed, which is exactly why customers pay late. A payment reminder is a polite, factual message sent when an invoice crosses its due date: which invoice, how much, how late, and how to pay. In India it goes on WhatsApp far more than email, and the first reminder from a small business is usually a shy 'sir, payment?' that is easy to ignore. A reminder with the invoice details and a pay link is harder to ignore and easier to act on.
Written by hand, reminders are inconsistent. One customer gets three messages in a week, another none for two months; the tone swings from apologetic to angry depending on the owner's mood; the amount quoted is from memory. Make sure receipts are recorded
Before reminding anyone, record all Payment Receipts you have received so nobody gets chased for an invoice they already paid. The overdue list is only as accurate as your receipts.

Go to Ledger, then Payment Reminder. Pick a customer, or choose Bulk to see every customer with overdue invoices and their days pending.

Choose the tone
Select Gentle for the first reminder around the due date, Firm for 15 to 30 days late, and Final when you are about to stop credit. The draft changes accordingly; edit any line you want.

Check the details
The message lists the invoice numbers, amounts and days overdue, and includes a pay link with UPI QR for the total. Verify the amount matches what the customer expects, net of any credit notes.

What a good payment reminder says
- Who you are: business name, and the contact person's name so the reply has somewhere to go.
- Exactly what is due: invoice number, invoice date, amount, and days overdue or the due date that has passed.
- The total, net of credit notes and part payments, so the customer does not argue about the figure.
- How to pay: a link with UPI QR for the exact amount, plus bank details for NEFT or cheque payers.
- A specific request: 'please clear by Friday', not 'kindly do the needful'.
- A tone that matches the delay. Gentle: assume they forgot. Firm: state that the amount is overdue and you need a date. Final: state what happens next (supply on hold, interest under the MSMED Act if applicable), without threats.
- An easy out: 'if already paid, please share the UPI reference so we can update our records'.
- For a final reminder, a reference to your earlier reminders with dates, which matters if the matter goes to MSME Samadhaan or a lawyer.

- How do I politely ask a customer for payment on WhatsApp?
- Keep it short and factual: greet by name, state the invoice number, amount and due date, add the pay link, and close with a specific request such as 'could you clear it by Friday?'. Avoid apologising for asking and avoid sarcasm. VyaparKit's gentle tone does this for you; the firm and final tones escalate without becoming rude.
- When should I send the first payment reminder?
- A day or two after the due date, or on the due date itself for large amounts. Sending it before the due date can feel pushy, but a short 'invoice due on the 10th' note a week ahead works well with corporate clients whose accounts teams run payment cycles. - What is the difference between gentle, firm and final reminders?

Review the list first so that anyone who paid today but is not yet recorded is skipped.
- Is it legal to send payment reminders on WhatsApp?
- Yes. A reminder for a genuine invoice is normal business communication. Keep it professional, do not send at odd hours, do not add the customer to groups or broadcast lists without consent, and stop if they ask you to communicate by email instead. The messages are sent from your own WhatsApp number, so your normal WhatsApp terms apply.
- What should I do if reminders do not work?
- Stop further credit, send a final reminder that references the earlier ones, and offer a settlement date. If you are a registered MSME and the buyer is a company, you can file on the MSME Samadhaan portal for amounts overdue beyond 45 days; otherwise a lawyer's notice is the usual next step. Keep the invoices, delivery proofs and reminder history together; consult a lawyer before acting.
