About the business letter tool
Businesses in India write a surprising number of formal letters: a request to the bank for a statement or a cheque book, a reply to a GST notice, an authorisation letter for someone to collect goods, a price revision notice to customers, a payment follow-up that has to be on record, or a no-objection certificate for a tenant or a vendor. Each needs to look official, carry a date and reference, and be signed by someone with authority. Government departments and banks in particular reject letters that are missing a subject line, a reference or the signatory's designation.

The Indian business letter format
- Letterhead with name, address, phone, email and CIN or GSTIN where applicable.
- Date and a reference number so both sides can quote the letter later.
- Recipient block: name, designation, organisation and full address, or 'The Branch Manager, [Bank], [Branch]' for banks.
- Subject line in one sentence, and a 'Ref:' line for the notice, order or invoice number being answered.
- Salutation ('Dear Sir/Madam' or a named person), body in short paragraphs, and a clear request or action with a date.
- Closing ('Yours faithfully' for Sir/Madam, 'Yours sincerely' for a named person), signature, name and designation, and 'For [business name]' where a company signs.
- Enclosures list and a copy-to line if others receive the letter.

- What is the correct format of a formal business letter in India?
- Letterhead on top, then the date and reference number, the recipient's name, designation and address, a subject line, the salutation, the body in two to four short paragraphs, a closing such as 'Yours faithfully', the signature, and the signatory's name and designation, often preceded by 'For [company name]'. List enclosures at the end. Full block style with left-aligned paragraphs is standard for typed letters.
- Can I use a business letter as a legal notice?
- A letter on letterhead demanding payment or performance is a valid written demand and is often the first step before a legal notice, but a formal legal notice, for example under Section 138 of the Negotiable Instruments Act for a bounced cheque, has specific time limits and content and is normally sent through an advocate by registered post. - What is a reference number on a business letter and how should I number letters?
- The reference number identifies the letter uniquely so that replies can quote it. A simple series that restarts every financial year, like LTR/26-27/0015, works for most businesses; larger firms add a department code. - Can I print a business letter without a letterhead?

At minimum, the sender's name, address and contact details must appear on top.
