About the service report tool

Field service businesses run on service reports. An AC technician on an AMC visit, a CCTV installer, a lift maintenance engineer, a water purifier service centre, a printer or POS machine vendor: each leaves a report with the customer at the end of a visit. It records the visit, the condition found, what was done, parts replaced and the time spent, and carries the customer's signature accepting the work. The report supports the invoice, proves that AMC visits were made, and protects both sides when a fault recurs.

Carbon-copy pads get filled in unevenly and the office copy fades; the customer's copy is lost by the next visit. Reports on WhatsApp photos cannot be searched by customer or machine. How to make a service report in VyaparKit

    Select the customer and site

    Open Service Report and choose the customer, or click Add customer. Enter the site address if it differs from the billing address, and the contact person on site.

    Describe the equipment

    Enter the equipment type, make, model and serial number, and whether the visit is under AMC, warranty or chargeable. Add the AMC or complaint reference if there is one.

    Record the visit

    Fill the engineer's name, date, time in and time out, the complaint reported, the diagnosis and the work done. Click Add line for each part used with quantity and rate.

    Note pending items

    List observations or recommendations, such as a part to be replaced on the next visit, and whether the equipment is working after the visit.

    Get acknowledgement and download

    Click Create and Download PDF. The report has a customer signature line with name and date; the customer signs the printed copy or the PDF signed on the phone is filed back.

What a field service report should contain

  • Report number and date, and the AMC contract, warranty or complaint reference it relates to.
  • Customer name, site address and the contact person who received the engineer.
  • Equipment identity: type, make, model, serial number and location on site.
  • Engineer's name, time in and time out, and travel or visit type (scheduled AMC, breakdown, installation).
  • Complaint reported, fault found and the root cause where known.
  • Work done, tests carried out and readings taken, for example gas pressure or output voltage.
  • Parts replaced with part number, quantity and whether chargeable, and consumables used.
  • Status after visit (working, partially resolved, awaiting parts), recommendations, and the customer's signature, name and remarks.

What is a service report and who prepares it?
A service report is a written record of a service or maintenance visit, prepared by the engineer or technician who attended, and acknowledged by the customer. It says what equipment was attended, what was wrong, what was done, what parts were used and how long it took. Service companies keep it as proof of work and the basis for billing; customers keep it as a record of the equipment's history.
What should a field service report include?
Customer and site details, the equipment with model and serial number, the engineer's name, date and time in and out, the complaint, the fault found, the work carried out, parts used with quantities, the condition after the visit, recommendations for follow-up, and the customer's signature. If the visit is under an AMC or warranty, quote that reference so accounts can tell chargeable work from covered work.
Is a customer signature required on a service report?
There is no legal requirement, but without it the report is only your side of the story. A signature confirms that the engineer attended, the time spent and that the equipment was left in the stated condition, which is what you need if the customer disputes an invoice or a warranty claim later. How do I record AMC visits with a service report?
Create a report for each scheduled visit, mark the visit type as AMC and enter the contract reference and visit number, such as 'AMC/2026/014, visit 2 of 4'. The customer's document list then shows every visit with its date, which is your record at renewal or if the customer claims a visit was skipped. Chargeable parts used during an AMC visit can be invoiced separately.
Can I share the service report with the customer?
Yes. Download the PDF and send it on WhatsApp or email from the site, or print it for signature. Many service companies send the PDF immediately after the visit and follow it with the service invoice, so the customer sees the work done before the bill. Reports stay in your Documents list against the customer, so a copy can be resent any time.
Does a service report replace an invoice?
No. The service report records the work; the invoice claims payment for it. For a chargeable visit, create a Service Invoice with the visit charge and parts, quote the service report number in the reference, and share it with the UPI QR. For AMC or warranty visits, the report alone is enough, since the charge was billed under the contract or is not payable.
